Who we are
Property Services (Haslemere) Limited is a Letting and Property Management Agency and a 'data controller' under the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) effective from 25th May 2018. Our registration number with the Information Commissioner's Office is Z8095810.
What information we collect and what we use it for
We collect information about you if you register your interest in applying to rent a property from us, if you subsequently become a Tenant of one of our properties, or if you are a Landlord for whom we act as an Agent. We collect only such information as we deem necessary for the legitimate pursuance of our business and in accordance with the contract that we have with you, either as a Tenant or as a Landlord.
Applicants - Initially, to assist you in your search for a rental property, we require your name and contact details, together with information on the type and location of the property that you are looking for and the number of adults, children and pets needing accommodation.
Tenants - For referencing and drafting the Tenancy documentation we require further information which will include, for each Tenant, their full name, date of birth, gender, age, current address, nationality, marital status, names of other occupiers such as children or permitted occupiers, contact telephone numbers, passport details, bank details, salary and employment details and contact details of next of kin. Once you have found a suitable property we will draw up a Tenancy Agreement using this information and any data obtained from Credit Reference Agencies and Fraud Prevention Agencies. When a Tenancy ends we will require your new address for forwarding purposes.
Landlords - We require similar basic information for Landlords as for Tenants. However, we will also require all information needed for statutory purposes for both the Landlords and their properties. Landlords are required to complete a property questionnaire to provide the necessary detail for our contract with them. This includes details of any third parties (e.g. Insurance Companies, Mortgage Providers, Accountants, HMRC) with whom their data may be shared.
Who we share your data with
We may be required to share your data with a number of entities to enable us to carry out our legitimate business. This may include Landlords, Tenants, Contractors, Utility Companies, Credit Agencies, Fraud Agencies, HMRC, and Accountants. We require all organisations to confirm that they are GDPR compliant before we provide any data to them. We will never sell your data to any third party nor supply it to one that does not have a legitimate need for it, nor to any marketing organisations.
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerialprocedures to safeguard and secure the information we collect. If you are not satisfied with how we are processing your personal information you are entitled to make a complaint to the Information Commissioner.
What you should do if your personal information changes
We need to make sure your personal information is accurate and up to date. You should tell us if your personal information changes. You may ask us to correct or remove information that you feel is incorrect. You may request a copy of the information that we hold about you.
How long your information is kept
These terms and conditions and your use of this website are governed exclusively by English law and any disputes arising from or in connection with these terms and conditions and your use of this website shall be subject to the exclusive jurisdiction of the courts of England and Wales.
